Ukrainian work record book translation, certified and page by page

Ukrainian work record books are often written in two languages across the same booklet: Soviet-era entries in Russian, later ones in Ukrainian, sometimes mixed on one spread. Each entry is translated from its own language, with stamps and order numbers, and the file says which is which.

What is special about it

Inside a Ukrainian work record book: the details that decide it

The Soviet 1974 form used in Ukraine has parallel Ukrainian and Russian headings, and the entries cite articles of the Labor Code of Ukraine or the Soviet code. Since 2021 records have moved to electronic form, so a printed extract from the Pension Fund may accompany the book.

Two languages, one record

Russian and Ukrainian entries are translated from their own language, and the translation notes the switch so the reader does not think pages are missing.

Labor Code articles cited

Dismissal entries citing articles of the Labor Code of Ukraine are translated in full with the article kept.

Employer stamps and forms

Stamps with the employer's name and the legal form (TOV, PrAT, FOP) are translated or described, with the abbreviation kept.

Book, insert and electronic extract

Filled pages of the book, the insert and the printed extract from the electronic register are each counted by content.

Which version do you have

Paper book or Pension Fund extract, which one is yours

Ukraine moved employment records to electronic form in 2021, so many people hold a paper book that stops at some point and an extract from the Pension Fund register that continues it. Each is translated by the filled page.

Paper work record book

Bilingual Soviet form
  • A booklet in the 1974 Soviet form with parallel Ukrainian and Russian headings, or a later Ukrainian form
  • Numbered entries citing the Labor Code of Ukraine or the Soviet code, order numbers, dates and employer stamps
  • Every filled spread is translated from its own language in the same table layout, stamps included
  • Asked for by USCIS in work-based cases and by boards or employers verifying experience

Send photos of every spread, the cover page and the insert; blank spreads are free.

Electronic record extract

From the Pension Fund
  • A printed table from the Pension Fund web portal or Diia, with a QR code or an electronic signature note
  • Employers, positions, hire and dismissal dates and the grounds, as entered in the register
  • Each row and the verification note are translated; the file says the original is electronic
  • Asked for when the paper book ends before your latest job or when an office wants a current record

Send the PDF exactly as downloaded from the portal or Diia.

The whole document, not just the fields

The full book, both languages, every page

Cover page and surname changes

The cover page with your name, date of birth and education is translated, and a surname corrected on the cover is described so the book matches your passport.

Handwriting from many hands

Entries were written by different clerks in different decades; each is translated as written, and corrections are described rather than silently fixed.

Dates converted, order kept

Each hire, transfer and dismissal date is converted to month-day-year and stays in its row.

Insert pages included

An insert continues the numbering of the book; its pages are translated and counted the same way.

Where it is accepted

One translation, accepted where you need to file

The same certified file works for immigration, courts, universities and employers. Say who it is for when you order and the certificate is worded for that office.

USCIS

Green card, citizenship and asylum filings. Certification statement on every page set.

Immigration courts

Same certified translation, laid out page by page so the clerk can compare it with the original.

Universities and WES / ECE

Admissions offices and credential evaluators get the certified English file with the original attached.

Employers and licensing boards

Questions answered

Ukrainian work record book, the questions we hear most

Some of my entries are in Russian. Do you charge extra?

No. Russian and Ukrainian documents are both priced the same way, by word count, and translated by the same translator.

Do I need the electronic extract as well as the book?

Only if an office asked for recent employment; the book may end where the electronic record begins. If you send both, each is translated by its filled pages.

How are job titles translated?

Literally, with the original in brackets when there is no direct equivalent. Nothing is upgraded to sound more senior.

Will USCIS accept this translation?

It follows what USCIS asks for: the whole document in English plus a signed statement that the translator is competent and the translation is complete and accurate. Every order includes that statement, signed and dated by the translator.

How much does it cost and how fast is it?

From $23.70 per document, certification included. A book with six filled spreads is usually ready in two to three business days; the price is shown right after upload and the date is confirmed before you pay.
